Deadlines

  • What is an Approximate Deadline?

    Approximate deadlines give a tentative estimate of when you’ll need to drop-off your bike at your partner shop before the event. To view your approximate deadline, go to your event page, and select your partner shop from the drop down box. Approximate deadlines are based on our travel logistics from the previous year.

    A date without a time next to it is considered approximate. A date with a time (e.g. 1:00pm) is a final deadline.

    Note that deadlines are always subject to change! If we change a deadline after the final deadline has been published, we will notify you.

  • When will I receive the final drop-off deadline?

    We generally publish final deadlines to the event page a few weeks prior to the event. You'll typically receive a final logistics email 7 to 21 days before the drop-deadline.

    **Reservations made 21 days or less before the listed deadline may NOT receive a final logistics email.**

    A date without a time next to it is considered approximate. A date with a time (e.g. 1:00pm) is a final deadline.

    Note that deadlines are always subject to change! If we change a deadline after the final deadline has been published, we will notify you.

  • Do I have to be there exactly at my drop-off deadline?

    No. You do not have to personally hand your bike to the driver. We only need your bike in attendance by the deadline.

  • Why did my drop-off deadline change?

    The approximate drop deadlines are based on historical data and educated guesses. As the event draws closer, our operations team is able to solidify our travel plans and driver schedules. Driver schedules can be affected by holidays, shop hours, weekends, road closures, etc. Sometimes for international events our modes of transport change.

    All of the aforementioned factors can result in a slight deadline shift either forwards or backwards. Typically the shift is not more than a few days.

  • What if I can’t make my drop-off deadline?

    The only way to ensure that your bike is picked-up is to drop it off before the deadline. If you drop off your bike after the deadline, your bike will be left behind.

    Deadlines are not flexible. If you cannot make your drop deadline, please make alternate arrangements to get your bike to the shop. For example, have a friend or family member drop off your bike.

    If you cannot get your bike to the shop before the deadline, please inform TriBike Transport so that we may notify the driver.

  • Where is the closest partner bike shop to my home?

    Visit our Partner Shops page for this information. Please be aware that we do not provide service from all of our Partner Shops to every event. To view Partner Shop availability for your event go to the Event Calendar page, select your specific race, and our available partner shops will be listed in the drop down menu.

  • My local shop is one of TBT’s partner shops, but I can’t find it listed on the schedule for my specific race. Why not?

    To make our service feasible, we require a minimum number of bike reservations per shop, per event. If a shop is not listed for a particular event, our research indicates that we would not meet the minimum number of reservations needed to cover our transport costs for that area. As our business grows and our service expands to more races, we hope to serve you better. Keep checking back for updates to our Event Calendar page.

    If you are not able to utilize our fully-assembled service for an event, our Pack & Ship service is an alternative for any United States location. You may read more about this service on our Pack & Ship page.

  • Can I change my partner shop after making my reservation?

    You may change your partner shop to any shop listed in the drop-down box on your specific event page.

  • What are the gear bag transport specifications?

    The maximum allowable weight for your gear bag is 25 lbs and should be about the size of an airline carry-on bag (12’’x12’’x18’’). Your gear bag should be a soft-sided duffel bag or backpack with no wheels or hard edges.

    Please ensure that all items are packed inside the bag and that all zippers are securely closed. Any bag exceeding size/weight limitations will be charged an ADDITIONAL $50 fee OR will be left behind at the partner shop. TriBike Transport reserves the right to leave gear bags that do not meet our requirements.

    The bottom line: Please do not overpack your gear bag.

    We do not recommend packing the following items in your gear bag:

    • Energy gels
    • LIQUIDS of any kind
    • Aero helmets without hard case
    You must provide your own gear bag. TriBike Transport does not provide or rent gear bags.
  • What are the wheel bag transport specifications?

    Full carbon disc wheels must be transported singularly, even if the bag is made for two wheels. TriBike Transport is not liable for damage to full carbon disc wheels that violate this policy. TriBike Transport reserves the right to leave wheel bags that do not meet our requirements.

    All other race wheels may be transported singularly or in pairs, provided that the bag is designed to hold two wheels.

    Please use soft-sided wheel bags. You must provide your own wheel bag. TriBike Transport does not provide or rent wheel bags.

  • Can TBT ship bikes to an event not listed on your event page?

    TBT is eager to assist your club, team, chapter, or group with all your bike transport needs. We are happy to arrange charter transports to events not listed on our event page.

    Please contact Customer Service for a quote. We will need the following information:

    • Starting/ending destination
    • Event and event date
    • Number of bikes
    • When the bikes will be ready to depart for the event
    • When the bikes will be ready to depart after the event

    **We are not able to provide single transports to events not listed on our Event Calendar.**

  • I see that I can purchase additional insurance. Does TBT provide base insurance?

    TriBike Transport provides $1,000 of insurance per reservation.

  • Why can't I add a gear bag to my international reservation?

    To simplify customs clearance and avoid potential delays we are unable to transport gear bags to international events.

    TriBike will not be held responsible for gear bags left at partner shops for international events.

  • Preparation

  • When should I book my TriBike Transport reservation?

    Book early! We encourage athletes to book reservations at least two months prior to their race. Reservations can be made up to a year in advance once they are published on TriBike Transport’s website (this varies as agreements for each race solidify).

    *Prices increase $25 – 30 days prior to each event. We work hard to create routes and pick up times convenient to athletes, late reservations create unforeseen logistical challenges and can result in drop deadline changes for all customers.

  • Do I need to disassemble my bike or pack it in a case?

    If you create a reservation by choosing one of our partner shops, your bike is transported fully-assembled minus the pedals. No bike bag or box needed.

    You must disassemble and pack your bike if you select our Pack & Ship service. Please visit our Pack & Ship service page for more details about this service.

  • What do I need to do before dropping my bike off for a fully-assembled transport?

    Most importantly, your pedals must be removed before transport. If you do not know how to remove your pedals, you may ask a partner shop employee for help. If your forget to remove your pedals, a TBT driver will do so for you. TriBike Transport is not responsible for your pedals once they are removed from you bike.

    We recommend that you remove the following items:

    • Water bottles
    • Computers

    The above items are easily lost or damaged in transport and TBT is not liable for these items if you choose to leave them on your bike.

    Full-carbon disc wheels must be removed from the bike. See our FAQ about wheels (below) and wheel bag specifications (above) for more information.

    Aside from the aforementioned preparation requirements, your travels to the event as-is.

  • What if I need help removing and/or reinstalling my pedals?

    Our partner shops may be willing to help you remove your pedals when you drop-off your bike. At events, we are happy to help you reinstall your pedals and remove them post race.

    Please note that we will have only standard pedal wrenches available. If your pedals require a torque-specific wrench, please bring your own.

  • What about my wheels? May I leave my race wheels on my bike?

    We DO NOT allow full carbon disc wheels to be transported on bikes. You may transport your full disc wheel in a wheel bag. Please place another wheel on your bike for transport.

    All other race wheels (e.g. 404s, 808s, 1080s) and race wheel covers are safe to leave on your bike.

  • Can TBT transport CO2 cartridges to my event?

    Yes, you can transport CO2 cartridges to any event either on your bike or in your gear bag. When bikes are flown, they fly in pressurized air containers.

    However, IROMNAN® Cozumel customers, please note that anything not on our inventory list (e.g. bike accessories) is subject to confiscation by customs agents. This includes CO2 cartridges.

  • What are the gear bag transport specifications?

  • Drop-offs, Pick-ups, Returns

  • How are the bikes packed and loaded?

    Each bike is covered with a large, extra padded blanket, which provides two layers of protection between bikes. Your bike is then loaded and secured into a fully enclosed truck. The bikes never leave our possession.

  • What can I expect when I drop off my bike at my partner shop for a fully-assembled transport?

    When you drop-off your bike at your partner shop, you should receive a hang-tag for each item on your reservation (e.g. bike, gear bag, wheel bag). You’ll fill out the required information and attach the tag to each item.

    These tags help our drivers properly identify each item on their inventory. Hang-tags will later be replaced with a paint-safe sticker that notes your name, your event, your shop, and truck route.

  • How long before an event must I drop off my bike?

    Your drop-off deadline will vary depending upon your relative location to the event and the mode of transportation (which is by truck except for over-seas events). For an approximate deadline, please visit the Event Calendar, select your event, and then select the most convenient partner shop.

  • When will my bike be returned to my partner shop after my race?

    In general, our return time is approximately equal to the outbound time. For example, if you dropped your bike off a week prior to its arrival at your event, it will take approximately a week to return to your partner shop.

    Please note that that return times can be delayed due to mandatory driver down days, road conditions, or weather. You should receive an automated email from us notifying you of your bike’s return to your partner shop.

  • Can someone else drop-off my bike at my partner shop?

    Yes, someone else may drop-off your bike at your partner shop.

  • I won’t be able to pick up my bike the day it returns to my partner shop. Can I pick it up later?

    Please reach out to your partner shop directly. Each shop has different policies regarding bike storage and you may be charged a fee for extended storage.

  • Can someone else pick-up my bike after it returns to my partner shop?

    Please contact your specific partner shop for the most accurate answer to this question. Shop policies vary and many have a verification process to ensure your bike’s safety.

  • At the Event

  • Can someone else pick-up my bike for me at the event?

    Yes. Please give the responsible party a copy of your photo ID. TBT on-site event managers will ask for verification.

  • Can someone else return my bike to TBT after the race?

    Yes.

  • What if I can’t pick-up my bike during the hours posted on my event page?

    You have two options:

    1) Have a friend, relative, or fellow athlete pick-up your bike during our posted hours. This is the preferred and easiest option.

    2) If you cannot arrange for your bike to be picked-up during our scheduled hours, please contact our on-site event managers at 855.482.8411 followed by your event’s extension. * On-site event managers will plan an alternate pick-up arrangement.

    *Generally, the hotline is open the day prior to bike pick-up.
  • What can I expect at the event?

    We will be located in a conveniently located, organized TBT corral. We do not need your claim ticket; we will identify you by your photo ID and our Cloud based system. Please bring your pedals.

    We’ll have a bike pump and basic tools available for you to reinstall bike accessories or make adjustments to your bike.

    You will be responsible for checking your bike into transition and for returning your bike to us after the race. For some races, you may upgrade your experience to include Valet Service and we will retrieve your bike after the race.     A sticker will be affixed to your bike. Please leave this sticker on your bike! The sticker helps us to properly identify your bike and return it safely home.

International Events

  • Why is my drop deadline earlier for international events?

    Drop off deadlines are earlier for international races due to logistical concerns such as transit time and the customs process.

  • Can I bring a gear bag to my international event?

    We do our best to provide gear bag service to all available events. To simplify customs clearance and avoid potential delays we are unable to transport gear bags to the following events:

  • Why do you need my bike's serial number for international events?

    Yes! When entering a foreign country we are required by law to provide detailed documentation to customs of all items in our possession. We must have the serial number from your bike to prevent delays or seizures. If you require assistance locating your serial number, please contact the manufacturer or a local bike shop.

  • Where do I find my bike's serial number?

    Here are some helpful tips to locate your serial number:

    1. Typically the serial number is found on the bottom bracket (underneath the bike where the two pedal arms go into the frame). If the cable plate is covering your serial number don't take it off - give us the numbers that are showing.

    2. Sometimes the serial number is on the underside or inside of the chain stay (the thin horizontal tube that ends at the center of your rear wheel).

    3. There are often two or more series of numbers on the bike. Usually the serial number starts with "SN" or "WTU". Some smaller manufacturers have smaller numbers that may not start with letters. EN14781 is not a valid serial number that identifies your unique bike. It is a manufacturing designation of safety and bike type. In this case, a racing bike.

    If you still can't find your serial number please have your local bike shop help you. If you require assistance locating your serial number, please contact the manufacturer or a local bike shop.*

    *For custom-built bicycles with no serial number, please enter your telephone number as your serial number.

  • Do I need to remove my bike accessories for my international event?

    When going through customs, we do not claim anything besides bikes and wheels/wheel bags. All other items are subject to confiscation. TBT is not liable for any bike accessories.

    We recommend removing the following items from your bike:

    • Bento Boxes
    • Saddle Bags
    • Hydration systems
    • Computers
    • Water bottles
    • Tool kits
    • CO2 cartridges
